Station Safe vs. Vehicle Safe: Does the Documentation Change?

Another webinar question from an agency that runs large station safes for their main supply and smaller vehicle-mounted safes in their apparatus. Does anything change in documentation depending on where the safe is?

The DEA doesn’t distinguish between locations. Both need individual access tracking, real-time inventory updates, administration and wastage records, transfer documentation, and two years of readily retrievable records.

Where It Gets Real

Station safes handle higher volumes — receiving, restocking, daily counts, expirations. The risk is in the sheer number of transactions. Vehicle safes get accessed under pressure — between runs, during shift changes at 4 AM. The risk is documentation getting deferred.

The agencies that handle both well treat them as one system — same credentials, same tracking, same dashboard. A supervisor sees inventory across all locations in one view. The moment you create a separate process, you create a gap.

Remember: under PPAEMA, every station where you store narcotics needs to be reported to the DEA as a designated location with 30 days advance notice.
